Its not just Dilbert cartoons where projects are doomed before they begin. Real-life PMOs are no stranger to failure. In the past three years, PMI research found that 75 percent of Project Management Offices closed or failed to add value.

Yet, while project success metrics are less than optimistic, effective project management can deliver tremendous business value by improving project execution and strategic resource alignment. Businesses agree. An astounding 97 percent of organisations believe project management is critical to business performance and organisational success.1 In fact, the increasing drive to complete more projects on time and on budget with fewer resources means demand for project management discipline is greater than ever.

Stakes are high for underperforming PMOs. High-performing PMOs nurture capabilities that enable successful strategy implementation, contribute value to their organisation and impact financial performance. While these high-performers are perceived as integral to strategy implementation initiatives, underperformers who ineffectively manage programs are viewed as cost-centers that offer little value to their organisation.

In reality, some projects will fail and yet, many failures are easily avoidable. In these situations, failure rarely has anything to do with project management itself. Taking a few relatively simple corrective steps can quickly illustrate the PMO’s value and head off trouble before it impacts how the PMO is perceived.

Read on to learn some of the most common warning signs and actions you can take to go from project failure to project hero.

Warning #1

You’re asked, “How does that project map back to our goal this quarter?” and you have no clue.

What to do: Ideally you discussed the PMO department’s metrics when you first began your role. However, as business goals change, sometimes they are not communicated to each department. This is especially true in business climates that revere adaptation and transformation. In fact, almost 80 percent of project management executives don’t know how their projects align with their company’s business strategy.2 It is critical to regularly connect with the business leader to ensure that your projects are consistently mapping back to operational efficiency and business value. Book that meeting before its too late.

Warning #2

You receive multiple emails asking for the status of Project X.

What to do: The term “over-communication” is overused for a reason–30 percent of the time, project failure can be attributed to poor communication.2 Proactively offer update the leadership team and take a hard look at your reporting to ensure you provide a true and complete picture of the portfolio at all times. Better still, once you’ve established two-way of communication, ask if the project is a dependency for another objective. Consistent communication and robust reporting will help projects stay on course and build trust and cooperation with your stakeholders who will recognise your efforts to align projects with larger initiatives.

Warning #3

While walking down the hall, you overhear someone from another team comment: “I don’t even know what the PMO does.”

What to do: Adopt an outward focus. Remember the PMO was created to serve the needs of the business. When coworkers do not know why the PMO exists, what it is or what the PMO’s objectives are, it’s often because the PMO’s mission has not been effectively, and repeatedly, communicated across the full entire team. Hint, here’s a sample mission statement for some inspiration: “The PMO exists to provide a standard approach to project delivery, full and accurate visibility into project status and effectively prioritise project management resources to support the organisation’s strategy.”

Now that you’ve got a clear mission statement, ask to present an update at the next company meeting or contribute project milestones to the intranet news page. Include metrics that support business objectives to remind everyone you’re all working toward the same goal together.

Warning #4

Your project success rate is low–and that’s not going to change next quarter, either.

What to do: First, revisit or repeat steps 1-3. Consider it your checklist. Step one: Ensure alignment with business goals. Step two: Confirm you’re proactively communicating project status to stakeholders as part of a robust reporting plan. Step three: Verify your organisation is aware of the PMO’s mission.

If the first three steps are done effectively, stakeholders should be aware of at-risk projects, understand why they’re falling behind and be confident in the steps that are already underway to address project threats.

However, don’t take comfort in this reassurance for too long. Immediately consider steps to ensure a higher project success rate. Complete an audit of your project tracking tools to ensure your toolkit meets the needs of your organisation. While needs will shift depending on your organisation’s maturity, you should have access to real-time insights into your resources and a big-picture view of your current projects. Next up, work with your team to establish a standardised process for determining when to cut a project that just isn’t working. Twenty percent of project failure is blamed on limited resources3. Eliminating a doomed project could free up resources for a future successful project.

Conclusion

In a turbulent environment where the unexpected has become the norm, agile organisations lead the pack. Project leaders, business leaders and stakeholders must work together to build greater agility. When they do, they’ll solve problems, take smarter risks and deliver innovative products and solutions faster—all key components of success

Manual Time and Task Entry Limits Insights, Pains the 78 Percent of Employees Who’d Welcome Mobile Applications

 Despite the obsession with agility, efficiency, and productivity, the evolution of technology has outpaced critical work processes. A new report, “Mobile Keeps Business Moving Forward”, reveals a mobile-savvy workforce struggling with outdated processes and eager for methods that complement their mobile lifestyle. Organizations using time and task data to guide business decisions over-rely on old-fashioned methods including Excel spreadsheets (28 percent) and pen and paper (36 percent).

Changepoint, a leading provider of project and portfolio management, enterprise architecture, and professional services management applications, surveyed more than 800 global project managers, executives, and IT professionals to understand how mobile has shaped today’s workforce. The study found inaccurate data collected via outdated methods and technologies threatens to stymie business growth.

The value of investing in mobile is clear: Fewer than half of employees are satisfied with their workplace technology according to a Forrester report¹. Inadequate, unfamiliar tools can negatively impact effectiveness while, fulfilling psychological needs can result in a highly-engaged workforce. Forrester found highly-engaged employees result in 81 percent higher customer satisfaction and 103 percent improvement in employee turnover. With nearly all (95 percent) survey respondents using their smartphone for work-related tasks during the day, aligning processes with the mobile workforce better positions businesses to compete.

While data is valued across the organization, time tracking data has long provided a foundation for informed resource decisions, controlling cost, and meeting contractual labor obligations. Organizations know the importance of accurate data yet, the majority of managers (77 percent) aren’t confident in the accuracy of the timesheets they approve. Meanwhile, nearly half (49 percent) of project managers aren’t sure they’re tracking their time right either. The likely culprit—inconvenient processes resulting in irregular, infrequent data entry and submission.

“We use our smartphone to check the weather, confirm flight info, read the news, call an Uber, or order coffee,” said Eric Bergman, vice president, product management at Changepoint. “Mobile is second nature but some of the most agile, tech-forward businesses still use spreadsheets and paper to collect business-critical data despite its impact on staffing and project decisions.”

Other key findings include:

  • Today’s workforce is mobile and device-driven. Throughout the workday, 95 percent of respondents use mobile for work-related tasks. More than one-third (35 percent) bring three to four devices to work and 78 percent would use a mobile app to input and submit time and task data.
  • An epidemic of multitasking. Individuals, contributors, and managers need simpler ways to manage work, especially given how often they juggle multiple projects. Virtually all (97 percent) team members are allocated to more than one project, with almost half (49 percent) on four or more, and 18 percent juggling seven or more. Managers are spread even more thin. Nearly two-thirds (62 percent) manage four or more projects and more than a quarter (26 percent) oversee seven or more.
  • Time tracking must be intuitive to be adopted. Eighty-three percent of respondents reported that their organization tracks time. Of the 17 percent who do not track time, the majority (81 percent) would if it was easier and 63 percent would use an app integrated with their PPM tool. A quarter (25 percent) of project managers believe tracking negatively impacts productivity. Employees want applications that work like they do–mobile and cross-platform.

“Technology frees employees to work anytime, anywhere, from any device,” said Bergman. “Applications like email and messaging have evolved to meet the needs of today’s hyper-connected, mobile workforce. Time-tracking should be simple, easy, and offer the same flexibility.”

Year-round, all projects are filled with boogeymen and ghost stories regardless of scope, industry, or timeline. While you may imagine the perils and dangers that await, it’s impossible to predict every twist and turn, creeping deadline and shape-shifting priorities you’ll encounter.

To successfully navigate the project management haunted house, the best project managers have learned from history’s best monster hunters – from Professor Val Helsing to Hellboy to Buffy the Vampire Slayer. Like these icons, they understand the risks, plan for the worst, keep their eye on the end result, mitigate risk when possible, and never back down from a challenge.

While their tactics differ, each monster hunter shares a similar approach. They’ve learned to identify the demons and nightmare scenarios they’re most likely to encounter. And, like Buffy wouldn’t leave home without the proper equipment, seasoned project managers have assembled their own arsenal of silver bullets to combat project demons.

To navigate the haunted house, follow this guide to the most common dangers lurking in the shadows:

  • Zombies: The problem is simple. Spreadsheets should be dead. Sure, they play a role in simple data collection and list making but your organization is far past that. In fact, zombie spreadsheets may be cannibalizing your organization–wasting valuable time and money. You wouldn’t take on a herd of zombies without the right weapons. So, why do you expect your organization to run smoothly without the proper tools?

Look for a tool that delivers project- and portfolio-level insights into resource management, project planning, and reporting. Once you reduce your organization’s dependency on spreadsheets, bury them deep.

#Protip–When killing zombies, take a lesson from the professionals. Go for the head.

  • Vampires: Along your path, these creepers – sometimes overzealous stakeholders – pop up unexpectedly ‘just to check in’. Unplanned interruptions deflate momentum, halt progress, and derail the team from doing what’s necessary to push the project forward. They suck the life out of your project.

To combat these vampires, establish clear communication channels between teams, stakeholders, and managers. Improved visibility into projects and dashboards to simplify status updates will free you from the ghouls that once haunted the hallways. In their place–productive collaboration, cooperation, and instant information exchange.

#Protip–Process and accountability are your secret weapons. Effective communication illuminates previously shadowy corners. Also the most effective vampire vaccine.

  • Skeletons: Budgets are a known demon. Yet, some are even more bare bones than others. In these scenarios, tracking and forecasting take on added importance. Use tools that work for your mobile-minded, device agnostic team – time and task data entry should be easy and ensure accuracy. Use that data in regular forecasting to stay on track. If you’re caught without the right tools, you’ll be picking up the pieces of a shattered project.

#Protip–Skeleton encounters can leave teams wary of repeating past mistakes and may prevent progress that would have benefitted the business. Face them head on instead of avoiding or burying them.

  • Frankenstein: While piecing together disparate systems may sound like a smart, efficient way to build a PMO, this experiment can quickly backfire and create a monster roadblock to business agility. Failure to connect organizational strategy and project execution leaves organizations navigating a Frankenstein’s monsterof processes and best practices without tangible results. Technology should enable, not serve as a barrier, to business transformation. Selecting the right tools is key to building an effective PMO that improves intake and uses critical data for better communication and more-informed decision making.

#Protip–Following his successful experiment, Frankenstein’s creator is consumed with guilt, despair, and regret. He dedicates his life to destroying the creature. In the end, everyone dies. Not how you want to start a Monday.

  • Ghosts: Projects create change. Change instills soulless, haunting fear. The very word casts a shadow. As champions for change, project managers risk of being haunted by ghosts of projects or stakeholders’ past. Uninformed organizations are more likely to be haunted by past failures.

Experienced project managers know–clearly communicating change, motives, and plans is the most effective way to combat fear. Without visibility into tangible and opportunity costs, organizations can’t learn from their mistakes. Portfolio-level insights prevent guessing at business value – a practice that leaves project managers wondering if they’re dealing with a shadow or a phantom of epic proportions. Transparency is key. Ghosts aren’t nearly as terrifying when you can see through them.

#Protip–Perform exorcisms often. If you don’t sort through the muck now, it’ll come back to haunt you.

Project monsters lurk year round, not just around Halloween. Jokes and creepy analogies aside, project nightmares are a true phenomenon and wreak havoc on productivity, team morale, and on-time, on-budget delivery. But it’s not a hopeless fight. Regardless of the apparitions haunting your project, knowledge and preparation are a project manager’s best weapons for survival.

Executives Will Accelerate Innovation and Execution to Drive Global Business Expansion

Changepoint, a leading provider of project and portfolio management, enterprise architecture and professional services management applications, today announced it has appointed Matt Scheuing as Chief Executive Officer and Scott Mahan as Chief Financial Officer. Both bring more than 25 years of multi-sector senior leadership expertise in enterprise software to their new roles.

“Matt’s ability to connect and unify vision, people and ideas sets him apart as a leader. There’s no better person to lead Changepoint forward,” said Robin Pederson, a member of Changepoint’s Board of Directors.

Before Changepoint, Scheuing spent time in leadership roles as CEO and on the Board of Directors at enterprise technology companies ranging from Fortune 200 to venture funded start-ups. Most recently, he was CEO of Tideland Signal, where he led high performance teams in the delivery of innovative aids to marine navigation solutions. He previously spearheaded StrataGen, delivering enterprise telematics solutions to fleet markets worldwide. Matt also led IntelliTax, a leader in financial transactions processing in the tax industry. His prior experience also included C-level roles in enterprise document, workflow and speech recognition applications.

Chief Financial Officer Scott Mahan also joins the executive team. He’ll oversee Changepoint’s financial operations and work closely with him to develop and evaluate corporate strategy.

“Building infrastructure to support a rapidly expanding technology company is no small task,” said Scheuing. “Scott’s been the engine behind several high-growth companies. His expertise will ensure we have the foundation, tools and processes in place to support our rapid global growth and expansion.”

Prior to Changepoint, Mahan spent more than two decades managing private companies and public enterprises growing corporations from early-stage to a global presence. His diverse background includes broad experience in finance, operations, management and accounting at various big data analytics, mobile, transactions processing and enterprise software companies.

Changepoint will demonstrate the app on Apple iOS- and Android-compatible tablets and phones at Technology Services World (TSW) 2016 in San Diego May 2-4, 2016 in Booth #18.

The Changepoint Mobile App is a native, device-oriented app that puts the most-used feature of Changepoint PSA—time, expense, and task tracking—into the hands of professionals in the field whose businesses rely on accurate billing for time worked.
